All you need to know!

 We’re delighted that you have chosen to book with us.  Here are some guidelines about bookings, cancellations, your visit and more.

  • Bedroom Bookings

    • Bookings must be either guaranteed or fully pre-paid by a credit or debit card.
    • Special requests (like room location or late check-out) are always welcome and we’ll do our very best to accommodate them, though they can’t be guaranteed.
    • Accommodation rates are per room per night (unless otherwise stated) with meal plans as indicated.
    • All published rates include VAT at the current rate.
    • Guests must be at least 18 to book and stay in a room at the hotel.

  • Payment

    • We accept all credit/debit cards and cash, we do not accept personal or company cheques.
    • Settlement of the bill in full, less any advance payments, must be made prior to departure from the hotel.
    • A credit card will be used on arrival to validate the booking and take a pre-authorisation. 
    • A pre-authorisation is a temporary hold of a specific amount of money on a credit or debit card.  It is not a charge, no funds are taken from the account but it does reduce the available balance until the hold is released.

  • Amendments, cancellations & no-shows

    When a booking is confirmed a reservation number will be generated, this must be retained for access to the booking in the event of the need to cancel or amend.

    • Advance purchase or non-refundable bookings: these are paid in advance and cannot be refunded, changed or cancelled.
    • Flexible bookings: cancel before 4pm on the day prior to arrival free of charge.
    • Flexible bookings: late cancellations after 4pm on the day prior to arrival or no-shows will be charged the full cost of the first night for each room booked.

  • Arrival and departure

    • Check-in: from 3pm
    • Check-out: by 11.00am
    • Guests are free to use the leisure facilities between the hours of 3pm on the day of arrival and 11am on the day of departure
  •  
  • Special Events (Weddings, Private Parties, Christmas etc.)

    All deposits and pre-payments are non-refundable subject to the contractual terms and conditions agreed and confirmed when you made your reservation.

  • Spa Breaks and Special Overnight Packages

    Spa breaks and special overnight packages are prepaid in advance and they are non-cancellable and non-refundable.

  • Spa Treatments

    • There will be no refund if you cancel within 48 hours of your visit.
    • Any other cancellations will be subject to an administration fee of £15 per booking to cover costs already incurred by the Hotel.

  • Spa Days

    • There will be no refund if you cancel within 7 days of your visit.
    • Any other cancellations or rescheduling will be subject to an administration fee of £15 per booking to cover costs already incurred by the Hotel.

  • Restaurant and Afternoon Tea Bookings

    • Pre-paid restaurant and afternoon tea bookings will not be refunded if cancelled within 48 hours.
    • Deposits paid for restaurant and afternoon tea bookings will not be refunded if the reservation is cancelled within 48 hours of your booking.
    • Any other cancellations will be subject to an administration fee of £15 per booking to cover costs already incurred by the Hotel.

  • During Your Visit

    • Please let us know right away if something isn’t right—we’ll do our best to fix it.
    • Please treat fellow guests, our team (see Guest Code of Conduct policy) and the property with respect.
    • You, your guests and/or your pets are responsible for any damage caused during your stay and repair or cleaning costs will be charged to compensate and make good the loss, damage or costs incurred by the Hotel as a result of any such damage.
    • The Hotel is subject to statutory controls including those relating to fire, licensing, entertainment, health, hygiene and safety.  These must be observed at all times.

  • Family Swimming and Spa Guidelines

    We want everyone to enjoy a safe and relaxing experience in our pool and leisure areas. To help us ensure this, please note the following guidance for families and younger guests:

    • Children under 8 years should be accompanied in the pool by a responsible adult (aged 18 or over) at all times on a ratio of one adult to a maximum of two children.
    • Children under 3 years should be accompanied in the pool by one adult per child to ensure their safety and comfort.
    • For health and safety reasons, children under 14 years are unable to use the spa bath (Jacuzzi), sauna or steam room.
    • Guests under 16 years are not permitted to use the gymnasium, spa lounge or attend fitness classes.
    • Pool access for children under 16 is available during family swim times: 8am-11am and 3pm-7pm.
    • Children aged 8 years and over should use the changing room appropriate to their gender. A family/accessible changing room is also available for your convenience.

  • Smoking

    • Smoking is not allowed in any areas of the hotel, including the bedrooms.
    • A cleaning charge will apply if smoking occurs in non-smoking areas, including bedrooms.

  • Pets

    • Pets are welcome with prior notice. Please let us know in advance if you plan to bring your furry friend.
    • If you are booking a bedroom, you will be allocated a dog friendly room at a charge of £25 for the 1st night and then £10 per night for any consecutive nights.
    • Dogs must be kept on the lead in public areas and should not be left alone in bedrooms.
    • You are welcome to walk your dogs in our wooded area and garden area but please do not venture onto the golf course. Please clean up after your pet to keep the hotel and grounds enjoyable for all guests.

  • Gift Vouchers

    • Gift vouchers are usually valid for 12 months from the date of purchase.  Occasionally we sell special promotion gift vouchers with a shorter expiry date.  Please carefully note the expiry date,  as vouchers presented after the expiry date will not be accepted or refunded.

  • Safety & Belongings

    • Please use the in-room safe or reception safe for valuables as we can’t accept responsibility for lost or stolen items.
    • Cars parked at the hotel are left at the owner’s risk.

  • Leisure Club

    1. Membership

    • To join the Club, please complete a membership form and pay the required fee.
    • Membership applications are subject to approval by the Proprietor (Moor Hall Hotel Ltd), who reserves the right to refuse membership at their discretion. Any fees paid will be refunded in such cases.
    • Once accepted, members must present their membership card at reception each time they visit.

    2. Member Information & Privacy

    • Member details are held securely in accordance with UK GDPR regulations. This information is used solely for Club administration and communication purposes.

    3. Admission & Capacity

    • Admission to the Club is subject to capacity. Membership does not guarantee entry at peak times when the facilities may be full.

    4. Membership Fees & Cancellations

    • Membership fees are set by the Proprietor and are payable on the agreed date.
    • Prepaid memberships are non-refundable.
    • Members paying monthly must give 30 days’ written notice to cancel their membership before their next direct debit date. Failure to do so will result in one final payment being taken.
    • Membership fees are subject to change. Advance notice of any fee adjustments will be provided to all existing members. 

    5. Non-Payment & Termination

    • Membership may be terminated if fees are not received within 14 days of the due date.
    • Lapsed members wishing to rejoin must reapply under current membership terms.

    6. Ending Your Membership

    Membership will cease:

    1. Following termination under Rule 5.
    2. Upon written resignation, with all fees paid up to the date of resignation.
    3. In the event of suspension or expulsion under Rule 7.

    7. Member Conduct

    We ask all members and guests to treat others, staff, and Club property with respect.

    • Abusive, unsafe, or antisocial behaviour will not be tolerated.
    • Misuse of equipment, smoking or vaping indoors, or any conduct deemed inappropriate may lead to suspension or termination of membership without refund.
    • The Club reserves the right to refuse admission or cancel membership where necessary. No refund would be given under these circumstances.

    8. Rules & Policies

    • The Proprietor may amend, revoke, or introduce new rules or policies as required. The Proprietor’s decision will be final in any matter relating to Club operations or member conduct.

    9. Guests

    • Members may bring up to two guests per visit, subject to payment of the guest fee or use of a valid guest pass.
    • Members must accompany their guests at all times and are responsible for ensuring they follow all Club rules.
    • The same guest may visit up to six times per membership year.

    10. Children & Family Use

    11. Dress Code & Hygiene

    • Appropriate attire must be worn throughout the Club, so as not to cause offence to others.
    • Trainers are required in the gym.
    • For hygiene, please use the cloths provided to clean gym equipment after use.
    • Swimwear must be worn in the sauna and steam room.

    12. Use of Facilities & Safety

    • All members are required to vacate the pool area, gym, studio, and lounge facilities no later than 30 minutes prior to the scheduled closing time. Members may then utilise the changing rooms for an additional 30 minutes, which must be fully vacated by the official closing time.
    • Members must not use the facilities under the influence of alcohol, narcotics, or medication affecting alertness.
    • Members with medical conditions (e.g. diabetes, heart disease, high/low blood pressure) should seek medical advice before using facilities. Written clearance may be required.
    • Use of Club facilities is at your own risk. The Club accepts no responsibility for injury, loss, or damage to members or their property.
    • The Club reserves the right to request documentary evidence of medical fitness before the use of the facilities.
    • Instructors and management reserve the right to refuse entry to classes if arrival is more than 5 minutes late.
    • Weekday membership permits access to the facilities from 08:00 to 16:00 hours, Monday through Friday only. 

    13. Pool Use

    • Please shower before entering the pool, sauna, steam room, or spa bath.
    • Running, jumping, or diving is not permitted.
    • Floats and inflatables are allowed only at the discretion of management.
    • No food, glass or crockery is permitted poolside.

    14. General Guidelines

    • Shaving and the use of oils or additives in the sauna, steam room, or pool areas are not permitted.
    • Smoking and vaping are not allowed anywhere on the Club or hotel premises.
    • Weekday members are welcome to take part in the Club’s social and activity programme.
    • For maintenance and safety, facilities may close for up to 7 days per year. Members will be notified in advance.
    • Photography is allowed only with prior approval from management, and only if it does not include other members or guests without consent.
    • Photos shared on social media that tag Moor Hall Hotel may be used by the hotel for promotional purposes.
